Electronic decision-making for committees and boards
The committee reviews applications, discusses them and signs the decisions in AAPU. The board runs its meetings in the same service: invitations, agendas, attendance and minutes.
Decision-making is the most laborious stage of the grant process when it runs on email and attachments. Circulating dozens of applications to reviewers, collecting comments and getting the minutes signed by post takes weeks. In AAPU this happens in one view, and every decision can be traced afterwards.
Committee work from application to decision
Review alongside the application
The reviewer sees the application, its attachments and earlier applications on one page and records the assessment there.
Built-in chat
The committee discusses the application inside the system. The discussion stays with the application, not in someone’s inbox.
Decisions with strong authentication
The decision record is signed electronically, and every signature can be verified.
Automatic notifications to applicants
Once the decision is signed, AAPU sends both approvals and rejections to applicants by email and SMS.
Board meetings in the same service
Invitations and agendas
The invitation goes to members automatically, and the agenda and materials are available in the system.
Attendance and minutes
Attendance is recorded during the meeting. The chair and the checkers sign the minutes electronically.
One login
A board member sees meeting matters and pending applications with the same credentials.
Archive
Meeting documents and decisions stay in the system and can be found by search.
Included in the annual fee
There are no license fees for committee or board users. Signed decisions and minutes count towards the 100 forms in the annual fee.
Questions about decision-making
Can applicants see the committee’s discussion?
No. The chat and the assessments are visible only to the foundation’s users. The applicant receives the decision.
Do all committee members have to sign the decision?
The signers are chosen according to the foundation’s practice, for example the chair and the secretary. AAPU sends the signature request to the people selected.
Does the board need a separate meeting portal?
No. Invitations, materials, attendance and signing the minutes are handled in AAPU with the same credentials as grant processing.
How are decisions archived?
Signed decisions and minutes are stored in the AAPU archive next to the applications. Nothing needs to be printed or filed separately, and afterwards you can verify that a signed document has not been altered.
