Electronic signatures for every document your foundation handles

AAPU collects signatures on grant agreements, board minutes and any other document with strong authentication. No separate e-signing service, and no account for the signer.

Many foundations pay for a separate e-signing service and move documents between systems by hand. In AAPU, signing is part of the same service as calls and decisions: the same archive, the same authentication and the same invoice. You can send any document for signature and receive the signatures back in AAPU, even when the document has nothing to do with grants.

What can you sign in AAPU?

Grant decisions and agreements

The committee signs the decisions and the grantee signs the grant agreement. The signed agreement is attached directly to the application.

Board and committee minutes

The chair and the minute checkers sign after the meeting from their own devices. The minutes are archived with the meeting documents.

Applications and reports

The applicant signs the application or report when submitting the form. Their identity is verified in the same step.

Other contracts and powers of attorney

Supplier contracts, powers of attorney and other foundation documents go the same route. Upload a PDF, choose the signers and send.

How a signature works

Choose the document

Use a decision or agreement generated by AAPU, or upload your own PDF.

Add the signers

AAPU sends every signer a link by email or SMS.

The signer authenticates

The signature is made in the browser with strong authentication. No account and no app needed.

The document is archived

The finished document is stored in the AAPU archive, and every signature can be verified afterwards.

What does signing cost?

The annual fee of 2,999 € includes 100 electronically signed documents. After that, each document costs 2 €. There are no separate per-signer or per-user fees.

Questions about electronic signatures

Is a signature made with strong authentication valid?

Electronic signatures based on strong authentication are an established way to sign contracts and minutes in Finland. If your foundation’s rules or the law require a specific form of signature, check the requirement before you start.

Does the signer need an AAPU account?

No. The signer receives a link, authenticates and signs in the browser. Nothing is installed.

Can we sign documents that are not related to grants?

Yes. Upload the document as a PDF, choose the signers and send. The document counts towards the 100 forms in the annual fee, just like an application or a report.

How is a signature verified afterwards?

Every signature records the authentication details and a timestamp. The finished document stays in the AAPU archive, where you can open and check it at any time.
